03 / Project & Order Management

Your Project.
Our Responsibility.

From purchase order to final delivery, we manage every production milestone, vendor communication, and approval checkpoint — keeping multi-vendor projects on schedule, on budget, and fully transparent throughout.
Overview

Seamless Production
Coordination

Managing production across multiple factories, time zones, and languages is one of the most demanding aspects of any large-scale sourcing project. Without a dedicated on-the-ground presence, timelines slip, details get lost in translation, and problems surface too late to fix without cost.

NUSA SOURCING acts as your dedicated project management team on the ground — issuing purchase orders, tracking production schedules, coordinating sample approvals, and providing regular status reports so you always know exactly where your project stands.

How It Works

The Order Management
Process

01

PO Issuance & Kick-Off

We issue purchase orders with full production specifications to each factory, confirm lead times, and schedule a production kick-off review to align on milestones, quality checkpoints, and communication protocols.
02

Production Monitoring

We maintain regular contact with each factory throughout production — tracking material procurement, production progress, and early-stage quality checks to catch any issues before they become costly problems.
03

Approval Management

All production samples, pre-shipment approvals, and key milestone sign-offs are managed through a clear approval workflow — with photographic documentation and structured reporting at every stage.
04

Reporting & Handoff

You receive regular progress reports throughout production, and a comprehensive handoff document at project completion — covering final specifications, supplier contacts, and reorder information for future reference.
Why It Matters

What Dedicated Management
Means for Your Project

On-Time Delivery

Proactive schedule management and early problem identification means your project stays on track — critical for hospitality openings and construction handover deadlines.

Full Visibility

Regular structured reporting keeps your team informed at every stage — no more chasing factories for updates or wondering if your order is actually in production.

Single Point of Contact

One dedicated NUSA account manager coordinates across all factories on your behalf — eliminating the complexity of managing multiple supplier relationships simultaneously.

Issue Resolution

When problems arise — and in complex projects, they will — our team resolves them on the ground, in real time, before they escalate into shipment delays or quality failures.

Multi-Vendor Coordination

We synchronise production schedules across multiple factories so that all items in a project complete simultaneously — ready for consolidated shipping on the same container.

Complete Documentation

All orders, approvals, specifications, and communications are documented and archived — giving you a complete project record for audits, insurance, or future reorders.

FAQ

Common
Questions

Questions about shipping timelines, costs, or customs? We’re happy to walk you through the details.
How often will we receive project updates?
We provide weekly production status reports as standard, with immediate notification for any significant developments — timeline changes, quality issues, or approval requirements. For large multi-vendor projects, we can provide more frequent reporting tailored to your team’s needs.
Can you manage orders already in production with existing factories?
Yes. If you have existing factory relationships and active orders, we can step in as your on-the-ground management team. We’ll review the current production status, establish reporting protocols with the factory, and take over day-to-day coordination on your behalf.
How many vendors can you manage simultaneously for one project?
We regularly manage projects spanning 8–15 vendors simultaneously for large hospitality FF&E projects. Our project management system tracks all vendors in one dashboard, with a dedicated account manager as your single point of contact regardless of the number of factories involved.
What happens if a factory misses a production deadline?
Our proactive monitoring means we typically identify timeline risks 3–4 weeks before they become missed deadlines. When delays do occur, we immediately escalate with the factory, present you with options, and — where necessary — identify alternative production solutions to protect your project timeline.
